Business Support Administrator

Location:
Normanton, WF6


The Role:
You will be the first point of contact for service users and colleagues, providing a professional and welcoming reception service. You will deliver a wide range of administrative support tasks and help maintain effective communication across the team and partner organisations. Your role will actively promote our services, maintain high standards of customer care, and ensure that the Family and Youth Hub is a welcoming, supportive, and organised environment.


Key Responsibilities:

  • Provide effective front-line business support including reception duties, handling face-to-face and telephone enquiries, and responding to service requests via shared inboxes.

  • Act as a first point of contact, dealing independently with routine enquiries in line with our Customer Care policy.

  • Represent WFT professionally, promoting support services and facilitating engagement with hard-to-reach service users.

  • Maintain accurate communication systems by delivering and receiving messages appropriately.

  • Treat all customers with respect, providing the highest standard of service.

  • Develop a strong knowledge base of online resources, apps, websites, and social media to promote the Family & Youth Hub and wider WFT services.

  • Offer advice and signposting guidance to families seeking community-based, online, or self-help resources.

  • Actively promote the Hub’s facilities, activities, and events.

  • Keep reception areas clean, tidy, and presentable, maintaining noticeboards to agreed standards.

  • Support financial administrative tasks including ordering goods, processing invoices, and managing petty cash following policies.

  • Maintain an understanding of relevant policies, legislation, and standards (e.g., GDPR, Equal Opportunities, Code of Conduct).

  • Support 'Team Around' models by inputting data, monitoring waiting lists, and recording interventions using Liquid Logic.

  • Take accurate minutes at meetings, supporting effective organisational delivery of services and partnerships.

  • Ensure office equipment is functional, carrying out minor repairs and reporting faults where necessary.

  • Support the implementation of new systems, processes, and technology to improve service delivery.

  • Manage incoming and outgoing post, ensuring timely circulation and filing.

  • Actively participate in supervision, appraisals, and ongoing personal development.

  • Share knowledge, skills, and best practices to build team capacity and effectiveness.


About You:

  • Previous experience in a busy administrative or customer-facing role.

  • Strong organisational skills and attention to detail.

  • Excellent interpersonal and communication skills, both written and verbal.

  • Ability to work independently and as part of a team.

  • A proactive and positive attitude with a commitment to providing excellent customer service.

  • Competent IT skills, including experience with electronic systems and databases.

  • Awareness and understanding of GDPR, confidentiality, and safeguarding principles.
