Job description

Route 1 is recruiting on behalf of a valued client for a Receptionist / Administration Officer. This is an exciting opportunity to join a professional and supportive team, providing high-quality front-of-house and administrative support across a busy care-focused service.

Job Purpose
To act as the first point of contact for staff, visitors, and the public, delivering an exceptional reception and administration service across the client's operational buildings. The role supports the effective functioning of Adult Social Care services by ensuring administrative processes are accurate, efficient, and customer-focused.

Key Responsibilities

  1. Welcome all visitors and staff to the building, managing signing-in procedures and issuing visitor badges.

  2. Provide administrative support including answering phones, responding to emails, data entry, typing, diary management, and photocopying.

  3. Maintain a professional reception environment and ensure meeting and training rooms are kept tidy and well-stocked.

  4. Manage meeting room bookings and co-ordinate calendars for appointments.

  5. Arrange and minute meetings where required.

  6. Handle incoming and outgoing post and ensure document scanning and indexing is completed accurately.

  7. Respond to reception and team mailbox enquiries in a timely and appropriate manner.

  8. Support financial administration including processing invoices, ordering supplies, and handling purchase card transactions (up to £250).

  9. Liaise with the building manager on facilities and health & safety matters including weekly fire alarm tests, accident reporting, and compliance with council procedures.

  10. Maintain confidentiality and handle sensitive information with care.

  11. Assist in maintaining accurate inventory and secure storage of documentation.

  12. Support the implementation of health and safety requirements and contribute to the Safety Improvement Programme.

  13. Undertake regular training and personal development in line with service needs.

  14. Provide cover for other admin and reception staff where necessary.

Person Specification

Essential Qualifications & Training

  • 4 GCSEs (Grades A–C / 9–4), including Maths and English

  • ICT qualification (e.g. ECDL, ICT GCSE) or equivalent experience

Desirable Qualifications

  • NVQ Level 3 in Business Administration or equivalent

  • Recognised Customer Service qualification

  • Valid Driving Licence

Knowledge Essential:

  • Understanding of business and financial administration procedures

  • Knowledge of Microsoft Office (Word, Excel, Outlook)

  • Awareness of Data Protection, confidentiality, and secure information handling

  • Knowledge of Customer Care standards and workplace policies (e.g. Equal Opportunities, Health & Safety)

Desirable:

  • Knowledge of local government operations

  • Experience working in a multi-agency environment

  • Understanding of health and safety practices

Experience Essential:

  • Experience in a customer-facing or receptionist role

  • Experience working independently and as part of a team

  • Strong verbal and written communication skills across varying audiences

  • Confident use of IT systems including Microsoft Office

  • Experience managing priorities and meeting tight deadlines

  • Minute-taking and diary management

  • Able to handle confidential information with discretion

Desirable:

  • Experience with financial IT systems (e.g., Agresso)

  • Previous experience working in Adult Social Care or similar settings

Working Conditions

  • Based at reception/office desks, primarily sedentary

  • Required to travel between bases if needed (WF1 and surrounding district)

Safeguarding and Compliance

  • The role may involve contact with vulnerable adults

  • Mandatory safeguarding training will be provided and refreshed every 3 years
